USG is currently recruiting an Executive Administrative Assistant based at our headquarters in Chicago. This position reports to the Chief People Officer and supports the President of Ceilings, the Chief People Officer and the human resources and corporate communications teams.
KEY DUTIES AND RESPONSIBILITIES:
Position Summary:
The Executive Assistant provides high-level administrative and organizational support to the Chief People Officer and the President, Ceilings. This role is responsible for managing complex scheduling, preparing executive communications and presentations, coordinating meetings and events, and supporting key programs such as the USG Foundation. The position also assists with logistics and materials related to board activities as part of overall executive support.
Key Responsibilities:
• Provide comprehensive administrative support to the Chief People Officer and President, Ceilings, including calendar management, travel coordination, and meeting logistics.
• Assist with the coordination of board-related activities, such as helping to schedule meetings, prepare materials, and facilitate communications under executive direction.
• Prepare, proofread, and edit high-quality presentations, memos, spreadsheets, and correspondence on behalf of the executive team.
• Plan, schedule, organize, and execute meetings, events, and conferences, handling all logistics and follow-up.
• Coordinate and process submissions to the USG Foundation, including the Give Local Program, Foundation grants, and the Foundation gift matching program.
• Prepare and distribute materials for USG Foundation Board meetings and mailings.
• Manage communications and submissions for the USG National Merit Scholarship Program.
• Coordinate scheduling and logistics for the use of USG’s suites at Chicago Blackhawks, Bulls, and Bears events.
• Process invoices and purchase orders for Human Resources and Corporate Communications teams.
• Maintain confidential files, records, and information in accordance with company policies.
• Support cross-functional initiatives and foster effective communication with internal and external stakeholders.
• Track project timelines and deliverables to ensure priorities are met.
• Perform other administrative duties and special projects as assigned.
KEY QUALIFICATIONS
• Minimum of 5 years’ experience supporting senior leaders in an executive assistant or similar capacity
• Demonstrated experience providing administrative support to multiple stakeholders.
• Advanced working knowledge of Microsoft Teams, Outlook, Excel, Word & PowerPoint.
• Service oriented with a high level of professionalism.
• Demonstrated experience ensuring complete confidentiality of sensitive and confidential information.
• Demonstrated high level of attention to detail and ability to maintain accuracy under pressure of deadlines.
• Experience drafting, editing, and preparing a variety of internal and external written communications.
• Self-starter with a demonstrated proactive approach in dealing with differing situations requiring searching for solutions.
• Highly organized and attentive to details.
• Ability to multi-task complex deadlines under pressure and manage competing priorities.
• Building business relationships based on trust.
Rate of pay may be adjusted based on the qualifications and experience of the candidate.
